Job Posting – Administrative Officer and Event Coordinator

CARL is seeking a qualified and highly motivated applicant for the position of Administrative Officer and Event Coordinator.  The position reports to the Manager, Administration and Programs and is responsible for providing accounting services, in-person events planning, and general administrative support to the day-to-day operations of the organization. 

Key Responsibilities 

  • Financial management services (including transactions processing, accounts payable and receivable, budget monitoring, preparation of financial statements, bank and visa reconciliation, expense claims processing, and audit preparation) 
  • In-person events planning and logistics support (including planning, RFPs for venues, hospitality arrangements, registrations management, communications, and onsite support during member meetings held twice per year) 
  • Administrative support to the Standing Committee on Finance and Audit and Board of Directors 
  • Membership administration and services 
  • Travel and conference arrangements for the Executive Director, and other staff as required 
  • Other general office administrative support. 

Required Competencies 

  • Strong accounting knowledge 
  • Proficiency with accounting software 
  • Ability to organize work to meet deadlines and proven attention to detail 
  • Proficiency with Internet; Microsoft M365, Google Drive, Zoom 
  • Strong oral and written communication skills in English or French.  
  • A demonstrated ability to communicate effectively in both official languages would be considered an asset. 
  • Strong interpersonal skills and a positive service attitude  
  • Ability to work effectively and collaboratively in a small team  
  • Ability to work in self-directed manner with a multi-task workload. 
  • Flexibility to respond to new priorities.

Required Education/Experience  

  • College diploma with business-related courses and two years’ experience; or completion of Grade 12 and five years’ administrative experience demonstrating increasing responsibilities.  
  • An undergraduate university degree would be considered an asset.  
  • Experience working in customer service or a member organization. 
  • Experience with financial administration and bookkeeping  
  • Experience planning meetings or organizing events.   
  • Knowledge of libraries or of university administration would be considered an asset.  

Location and Hours  

  • This is mostly a work-from-home position.  However, CARL has an office in the MacOdrum Library at Carleton University and applicants based in the Ottawa-Gatineau region and able to work at the office occasionally may be given priority.  
  • The position is full-time (35 hours per week) with normal hours of work expected Monday to Friday (8:00 a.m. to 4:00 p.m. or 9:00 a.m. to 5:00 p.m. Eastern).  
  • Travel within Canada is required 1-2 times per year.   

Remuneration 

 Salary range is $49,500 to $58,500 per annum, based on experience and qualifications.
